Refund Policy

At NY Smiles Dental, we are committed to providing transparent and fair financial practices. This policy outlines the conditions under which a refund may be issued.

Scope of this Policy This policy applies to patient payments made for dental services. It does not apply to situations involving insurance claims, which are governed by a separate process.

 

Refunds for Overpayments

 

A refund may be issued to a patient if an overpayment occurs. An overpayment is defined as a total payment (from the patient and/or their insurance company) that exceeds the total amount charged for services rendered.

Common reasons for an overpayment include:

  • An incorrect billing amount.

  • The patient making a payment before an insurance claim is fully processed.

  • An insurance company paying a higher amount than initially estimated.

Should an overpayment be identified, we will automatically initiate the refund process. Refunds will be issued via [e.g., a check mailed to the address on file, a credit to the original payment method, etc.] within 30 business days of the overpayment being identified.

 

No Refunds for Services Rendered

 

Please note: We do not offer refunds for services that have already been performed.

Once a dental service is completed, such as a cleaning, filling, crown, or extraction, the fee for that service is considered earned and non-refundable. This is because the fee covers the time of the dental professional, the use of our facilities, and the cost of materials and lab work. We stand by the quality of our care and will work with you to address any issues or concerns you may have regarding a treatment.

 

Patient Responsibility

 

Regardless of your insurance coverage, you are ultimately responsible for the full cost of all services received at our practice. We will do our best to provide you with an accurate estimate of your financial responsibility, but this is an estimate only and is subject to change based on your insurance company’s final determination.

 

Changes to Your Account

 

If you have a credit balance on your account due to a payment reversal or adjustment, you may request a refund. We will verify the balance and process the refund in accordance with this policy.
